Hello Nigel,

I have an issue with the syncronization from MLK to Outlook 2010. To match an internal MLK rule when importing contacts from Outlook we renamed all the Outlook Categories so not to have any space between words, replacing spaces with underscore character "_". So, by example, "Promo_ASTM" category is correctly imported into MLK as "Promo_ASTM" group. Previously, if the category was "Promo ASTM", the imported category became Group "Promo_ASTM" and therefore the backward syncronization lead to a mess in our Outlook database, adding all those underscored groups as categories. Sorry, but I had to explain you this first.

Today, I wanted to tag all the contacts in MLK which got more that 3 mail delivery errors adding them to a new Group named "Check_email" which was added in Outlook as well as in MLK as a Group. So, I did a test with just one contact in MLK: I added the new Group to the list of groups this contact belongs, I clicked on "Export|Add to Outlook contacts", then I checked both options in the next pop-up "Don't add duplicate contacts" and "Use Groups as Outlook Categories", and confirmed.

The contact was imported in Outlook but the problem is now that it got all the Groups translated into a brand new Category where the name does not have anymore the underscore character, so group "Promo_ASTM" becames category "Promo ASTM". We can have up to 14 Categories assigned to a single contact and over 6 thousand contacts in our customers list. How can I avoid that MLK changes the Group naming convention and simply keep it consistent?

The problem is that as MLK does not like spaces (as it is not suitable for command line parsing) and Outlook tends to favour spaces (most users do not use underscores) then MLK converts spaces in categories to underscores in group names, and vice versa.

Update. If I use the dash/minus symbol instead of the underscore, by example Promo-ASTM, then the reverse syncronization is fine from MLK to Outlook. The issue seems to be related only to the underscore "_" symbol. It seems to be a sort of "special" character that MLK uses, perhaps when there are spaces in the Category and "Allow group containing spaces" is disabled?

I would prefer to find a solution with you before having to change/edit all our Categories in Outlook (it would be a nightmare for several reasons).

Thank you Nigel, good to know it for the future but currently this is not the issue. When I syncronize back a contact from MLK to Outlook I must keep the Groups/Categories consistent between the two sources. Currently, it doesn't work this way. Since I used an underscore character in the Outlook Category name I would expect that even MLK convert it into an identical Group name, and this is true within MLK but when I syncronize the contact back from MLK to Outlook the underscore character is removed, while I want to keep it as is.

You can try if you have Outlook. Create a contact, add a group with two words separated by an underscore character (for me this is as a single word, right?), then import it into MLK converting the Category into Group, then change something in the contact and syncronize back to Outlook and you should see what I mean. Now the contact has a new category and the underscore has been removed. Sorry but this is crucial to me. Thanks and let me know if its clear.

Hi

This will depend on whether you have enabled the setting to "Allow Groups containing spaces"

It should be disabled.

You will find the setting under View > Options, Database, Advanced Database Options, Extra Advanced Database options.
