I am trying to send out personalised e-mails to a group. I have an excel spreadsheet which contains all my data. When I started I imported the data into a group which I created, mapped all the fields and created an e-mail which I saved. All worked really great.

Then I had to add more rows to the spreadsheet - more members -(column structure remains the same) Imported again and MailList told me I had x new records which was correct. I went to send, opened the saved e-mail but when I checked preview it showed me everyone on the spreadsheet not just the new ones. I am really nervous that if I send, the e-mail will be sent to everyone, not just the new added people. I have checked the help file and it says it will only send to new but I don't know if this is the case if I re-import the file each time. Especially since preview is showing every record.

Can someone tell me how I can guarantee that e-mails are only sent once even though I am re-importing the file each time I get new member?

Hi

Quickest way would be:
1. In main window select "Filter Mailing List" tab
2. Enter the email address and click search
3. Click List>Send To List (by default it will send to the displayed recipient)
4. Reload the message from the list of recent messages (under the open icon on the toolbar)
5. Click Send

Thank you very much.

One extra question if I may.

I now have one member I need to resend an e-mail because her record has changed. I see I can find her in find member. I also see the e-mail in History and an option to re-send. If I print the message - (no preview), I get the e-mail with the personalisation strings rather than the data infills. If I re-send message from this place is that what gets sent or will she, and she alone, get her fully personalised e-mail with updated data. Is there any other simple way of send re-send an e-mail to an individual member?

Hi

If you have imported new members into the same group as your old import and then you send to that group (or the whole mailing list) then MLK will send to all the group members (even ones you have sent to).

You need to filter the mailing list to remove any members you have sent to. The following two options are probably the easiest:

1. Select the "Custom Filters" tab of the main Window and choose the option: "members who have never been emailed

or

2. In the message sending dialog click the To button and then choose the option to "Exclude any members that have been emailed in the last x days"


The other thing is that you don't need to import a list to send to it. If you click the To butotn in the message sending dialog you can send directly to a list of members in an Excel or text file.
