 Possible logging problem?

I am having trouble reconciling emails received into our POP account with emails sent by MLK.

I programmed our POP account to make two copies of every email received - one to serve as a proof that the email was received, the other to serve as a backup in case an email needed to be re-sent.

According to my log we received 20 emails on 6/11, 4 on 6/12, 7 on 6/13, nothing on 6/14 or 6/15 and 7 on 6/16.

According to MLK we sent 17 messages on 6/11, 3 on 6/12, 2 on 6/13, nothing on 6/14 or 6/15 and 4 on 6/16.

I am concerned about the reliability issue. Is it possible that we would be better off using the Outlook client for retrieval instead of the direct retrieval?

Any thoughts or suggestions?

Hi Jeff

That is odd. We may need to do some logging, but first, have you checked that the missing messages are not listed under the "Errors" mode? Perhaps they did not match your forwarding rules and thus were not processed (I assume you have used the default POP option which saves unknown messages to the error list).

Permit me to clarify - as an example, there are 4 messages in the POP inbox. MLK retrieves all 4 and deletes them from the POP account BUT it only processes and sends out the first message. There is no record in MLK of the other 3. They do not appear as errors or send failures, the seem to simply vanish.

The messages that were not sent do not appear to be any different than other messages that were. All subscription changes are done manually so the only emails that are received by the POP account are emails from members to be redistributed to all the other members. There is no obvious characteristic that distinguishes the messages that disappear.

I cannot be 100% certain since messages are deleted from the POP account upon retrieval by MLK, but my suspicion is that the problem occurs when MLK retrieves several messages at the same time.

I can demonstrate this because I have set up rules in the POP account that automatically make 2 copies of all incoming emails in separate "storage" folders. I started doing this a few days ago because we have a persistent but erratic problem with people sending emails which are not redistributed. I am able to resend the "lost" emails by copying them from the storage folder and doing a manual retrieval into MLK.

One other characteristic which is strange. If someone sends a message which is not redistributed they often re-submit it. In these cases the second message ALSO vanishes, meaning that it is deleted from the POP account but does not appear to be sent by MLK.

In any event, I will try reconfiguring MLK to retrieve from Outlook and see if that resolves the problem. I will make the changes this weekend.

If you have any thoughts in the meantime I would be happy to have them.

Hi Jeff

Personally I am a great fan of letting Outlook worry about the email retrieval and letting MLK process them in Outlook. Doing it this way offers much more flexibility.

But your questions seems to be about message that MLK is sending, correct? The sending log does not match what has been received. If your POP account contains three extra messages than were sent, please check to clarify the nature of the extra messages.
